Bulk Order Policy

Preserving Craft Heritage. Building Meaningful Partnerships.

At BhaWe, we believe in building relationships, not just transactions. Every order supports skilled craftsmanship, traditional textile techniques, and the artisans who keep our heritage alive.

Our B2B policy outlines the terms for bulk orders, custom production, payments, shipping, quality assurance, and returns to ensure a transparent and reliable partnership.

1. Minimum Order Quantity (MOQ)

Minimum Order Quantity depends on the product category, design complexity, and craft technique.

·         Ready Designs: MOQ varies by category, complexity, and craft technique, as specified in our MOQ Excel sheet.

·         Custom Designs: MOQ is determined by the category, design complexity, and craft technique, as specified in our MOQ Excel sheet.

·         Samples: Samples are available at cost. Sample charges may be adjusted against bulk order billing where applicable and agreed in advance.

All BhaWe B2B orders are handcrafted or custom-produced according to the agreed client specifications. Once confirmed, orders are non-returnable and non-exchangeable, except as expressly provided under this policy for verified defects or discrepancies.

2. Pricing and Payment Terms

·         Transparent Pricing: We provide clear pricing with no hidden costs.

·         Order Confirmation: Orders are confirmed upon receipt of the agreed advance payment, usually 50% of the total order value.

·         Advance Payment: The advance is generally non-refundable after the 48-hour cancellation window because materials, production planning, and artisan labour may be committed from the outset.

·         Balance Payment: The remaining 50% must be paid before dispatch.

·         Volume Discounts: Discounts may be available for orders exceeding standard MOQs, repeat purchases, and long-term collaborations, subject to agreement.

3. Order Cancellation

·         Orders may be cancelled within 48 hours of confirmation, subject to the terms below.

·         To request cancellation, email support@bhawe.com with your order details.

·         If an order is cancelled within the permitted window, a full refund of payments received will be issued, provided production has not commenced and no non-recoverable costs have been incurred.

·         After 48 hours, the advance becomes non-refundable, and costs already incurred must be paid.

·         If production has commenced, the buyer may be liable for up to 100% of the order value, depending on the stage of production and costs incurred.

·         Once an order has been dispatched, it cannot be cancelled, and no cancellation refund will be issued.

Unpaid Orders

If the outstanding balance remains unpaid for more than 30 days, BhaWe reserves the right, subject to applicable law and contractual terms, to:

·         Resell the goods without refunding forfeited advances, subject to applicable law.

·         Suspend or decline future orders from the buyer.

·         Pursue recovery of outstanding dues and reasonable recovery costs through appropriate legal remedies.

Goods remain the property of BhaWe until full payment is received, to the extent permitted by applicable law.

4. Payment Default and Late Fees

·         The outstanding balance must be cleared within seven days of the order completion notice.

·         Overdue balances may attract a late fee of 2% per week, subject to the agreed contract and applicable law.

·         Orders remaining unpaid for more than 30 days may be resold, and advances may be forfeited, subject to the applicable cancellation terms and law.

5. Changes to Confirmed Orders

·         Once production begins, changes to design, colour, size, or quantity are generally not permitted.

·         Changes requested after confirmation may result in additional costs and revised delivery timelines.

·         All changes are subject to BhaWe’s written approval.

·         BhaWe reserves the right to accept or decline change requests based on production feasibility.

6. Quality Assurance and Handmade Variations

BhaWe works with handcrafted textiles and products made using traditional techniques. Natural variations are part of their character.

·         Minor variations in weave, texture, colour tone, and finish may occur and are not considered defects on their own.

·         Bulk production will follow the approved sample and written specifications.

·         Fabric swatches and prototypes may be requested before placing large orders.

·         For large-volume orders, pre-dispatch inspection may be arranged by mutual agreement.

·         Buyers may request photographs, videos, or sample-lot approval before final packaging and dispatch.

Once an approved sample or pre-dispatch inspection has been accepted, the order is considered approved for the characteristics covered by that approval, subject to the agreed specifications and applicable rights concerning defects or discrepancies.

7. Production Timelines

·         Standard Lead Time: Approximately 3–5 weeks from design approval and fulfilment of the agreed production prerequisites.

·         Factors Affecting Timelines: Craft complexity, artisan availability, raw material sourcing, order quantity, and design approvals.

·         Rush Orders: Expedited production may be available for an additional fee, subject to feasibility.

·         Progress Updates: Weekly production updates will be provided to keep buyers informed.

Final timelines will be confirmed at the time of order acceptance.

8. Sustainability Commitment

At BhaWe, we are committed to preserving traditional craft practices while encouraging responsible production.

Our approach includes:

·         Eco-conscious sourcing wherever feasible.

·         Minimal-waste production practices.

·         Ethical partnerships with artisans and craft communities.

·         Supporting the continuation of traditional skills and techniques.

·         Using eco-friendly and recyclable packaging wherever possible without compromising product protection or shipping safety.

9. Domestic Shipping and Returns

·         Domestic and international shipping services are available.

·         Made-to-order and customised products are generally non-returnable, except in cases of verified defects or incorrect goods as covered by this policy.

·         Shipping costs are borne by the buyer unless otherwise agreed in writing.

·         Once goods are dispatched, BhaWe is not responsible for courier delays or transit disruptions beyond its control, subject to applicable law and the agreed shipping terms.

·         Risk of loss or damage transfers according to the agreed delivery terms and applicable law.

10. Fabric Orders and Roll Lengths

Fabric orders are supplied in running lengths and are not cut into smaller pieces unless agreed otherwise in writing.

·         Roll Lengths: Handwoven fabric rolls may range from approximately 11 to 18 metres per roll, depending on the weave, yarn, and loom setup.

·         Natural Variations: Minor differences in texture, colour tone, and length may occur as part of the handloom process.

·         Bulk Requirements: Additional rolls may be required to fulfil the total requested meterage because handwoven production is limited by the nature of the craft.

·         Consistency: BhaWe takes care to maintain consistency across rolls, within the practical limitations of handcrafted production.

Buyers should confirm their total meterage requirements before production begins.

11. International Shipping Policy for Large-Volume Orders

11.1 Shipping Methods and Freight Terms

·         International orders may be shipped by air or sea freight, depending on order volume, destination, and buyer preference.

·         Applicable freight terms, including FOB, CIF, or DDP, must be agreed upon and documented before dispatch.

·         Responsibility for freight, insurance, customs clearance, import duties, and taxes will be determined by the agreed Incoterms and written contract.

·         Estimated transit times will be communicated at order confirmation.

·         Delays caused by customs, port congestion, carriers, or other external factors may affect delivery schedules.

11.2 Export Packaging and Documentation

·         Shipments are packed using appropriate export-grade materials, such as reinforced cartons, pallets, or crates, as required.

·         BhaWe will provide applicable export documentation, including commercial invoices and packing lists, along with other documents agreed upon or required for the shipment.

11.3 Inspection and Quality Approval

·         Pre-shipment inspections may be conducted internally or by a third party for large orders, as agreed.

·         Buyers may request photographs, videos, or sample-lot approval before final packaging and dispatch.

·         Approval of samples or inspection reports confirms acceptance of the characteristics inspected, subject to the agreed specifications and applicable law.

12. International Returns, Replacements, and Damage Claims

International bulk orders are handcrafted or made to specification and are generally non-returnable and non-exchangeable, except in the circumstances outlined below.

12.1 Eligible Claims

A claim may be considered if:

·         Goods materially differ from the approved sample or written specifications, such as the wrong fabric, colour, or quantity, subject to the agreed tolerances and specifications.

·         Goods arrive damaged in transit, supported by clear photographs and appropriate carrier evidence.

Minor natural variations in handcrafted textiles are not defects by themselves.

12.2 Reporting Period and Procedure

·         Claims must be submitted within 48 hours of delivery.

·         Email support@bhawe.com with the order ID, invoice, description of the issue, and supporting photographs or videos.

·         If the outer package appears tampered with, document the condition immediately and notify BhaWe and the carrier. Where possible, do not accept the shipment if the damage or tampering is apparent.

BhaWe will review eligible claims and respond within 5–7 working days with a proposed resolution.

12.3 Resolution of Approved Claims

Depending on the circumstances and the agreed contract, BhaWe may issue a credit note or refund for a verified claim. Replacements will not be provided under this policy unless separately agreed in writing.

·         Refunds are not ordinarily offered unless expressly agreed or required by applicable law.

·         The buyer bears return freight and customs-related costs unless the issue is solely attributable to BhaWe or otherwise agreed in writing.

·         Where a return is authorised, goods must be unused, in their original packaging, and accompanied by the required export/import documentation.

12.4 Non-Returnable Items

Customised designs, special dye lots, embroidery work, and made-to-order products are non-returnable and non-exchangeable unless the goods are defective or materially incorrect against the approved sample or written specifications, subject to applicable law.

13. Intellectual Property

·         All BhaWe designs, patterns, photographs, and creative content remain the intellectual property of BhaWe or their respective rights holders.

·         Buyers may not reproduce, copy, distribute, or subcontract the use of these materials without prior written permission.

·         Custom designs may not be replicated, reproduced, or resold without BhaWe’s prior written consent, subject to the terms of the relevant agreement and applicable law.

14. Liability and Dispute Resolution

·         BhaWe is not responsible for import duties, taxes, or customs delays in the buyer’s country where these fall outside BhaWe’s agreed responsibilities.

·         Shipping risks and responsibilities are governed by the agreed Incoterms, contract, and applicable law.

·         Disputes will be addressed through arbitration in Prayagraj, Uttar Pradesh, India, under the applicable Indian arbitration laws, subject to a valid arbitration agreement and applicable law.

15. Ready-Made Products: Specifications, Approval & Claims

For all bulk orders of ready-made garments, accessories, and lifestyle products, the buyer must verify and approve the product specifications, sizes, size-wise quantities, colours, designs, materials, and finishing requirements in writing before order confirmation. Any approved sample, written specification, or agreed tolerance shall serve as the reference for fulfilment.

Once an order is confirmed, changes are subject to BhaWe’s written approval and may incur additional costs or delays. Natural variations in colour, texture, weave, embroidery, dimensions, and finish arising from handcrafted processes shall not, by themselves, constitute defects where the products remain consistent with the approved sample and agreed specifications.

The buyer must inspect the products promptly upon delivery and report any visible damage, defects, or discrepancies within 48 hours of receipt, providing the order number and clear photographs or other reasonable supporting evidence to support@bhawe.com. Failure to report within this period may affect the ability to verify a claim, but shall not exclude rights that cannot lawfully be waived.

Claims will be assessed against the confirmed order, approved samples, written specifications, and applicable quality standards. Differences based solely on personal preference, or variations disclosed and accepted before ordering, will not automatically qualify for a refund, replacement, or compensation. Any remedy will be determined in accordance with BhaWe’s published policies, the agreed order terms, and applicable law.
